What Activates a Sync from Skimmer to QuickBooks Online?

Below is a breakdown of when data syncs from Skimmer to QuickBooks Online.

This can be viewed from the Activity Page under Integrations > QuickBooks Online > Activity

👤 Customers

Sync Triggers:

A new customer is created in Skimmer

Selecting Edit -> Save on the customer Profile

Selecting a customer from the dropdown in Linked Customers, select Save and Sync at the bottom of the page

Expected: If the customer does not already exist (or is not linked), Skimmer will create the customer in QBO and automatically link them. You can confirm a successful sync from the Activity page.

Note: Deleting or making a customer inactive in Skimmer does not delete or make them inactive in QBO; this action must be completed in both systems.

Best Practice(s):

  • Avoid manually creating the same customer in both systems. If a duplicate exists, link the correct QBO customer in Skimmer Linked Customers.

  • Complete the changes in Skimmer first, then confirm them in QBO.

  • You need to Save & Sync on this page to sync any changes.


🧾 Invoices & Payments

Sync Triggers:

Invoice/Payment Sync:

Successful Payment in Skimmer

Past Invoice and payments:

Sync Older Invoices & Payments to QBO Select date and Start Sync

Note: As long as the invoice/payment has not been synced previously it will trigger a sync for all Invoices and Payments from the selected date to the present

Expected:

The invoice is sent to QBO with:

  • Invoice Date

  • Due Date

  • Invoice line Items (With description, rate, and tax)

  • Note to Customer = Message on Invoice

The Payment is sent to QBO with:

  • Payment date

  • Reference number

  • Payment method

Note: If you add anything to the Payment Memo/Notes in Skimmer, it will NOT sync to QBO. You will have to update this manually in the memo or add a photo of the check as an attachment to the payment in QBO.

Expected: Invoices are created in QBO, and Payments sync to QBO and apply directly to the associated invoice.

Best Practice:

Ensure all Invoices and Payments have successfully synced prior to the Payout. This can be viewed from the Activity Page under Integrations > Quickbooks Online > Activity


📦 Products

Sync Triggers:

A product is added to Settings / Products

Product Sync:

Selecting Edit -> Save on the customer Profile

Expected: If the product is not already linked to a QBO Product/Service, Skimmer will create it in QBO using the assigned account mappings. If there is already a product in QBO with the Same name, you will need to connect from Linked Products.

Best Practice:

  • Confirm Linked Products mappings before invoicing to ensure invoices sync successfully to QBO. Successful syncs can be viewed from the Activity Page under Integrations / Quickbooks Online / Activity

  • Selecting a new dropdown item will automatically sync here


🧪 Chemicals/Dosages

A new Dosage is created under Settings / Readings & Dosages

Dosage Sync

Edit and Save to a Dosage in Settings / Readings & Dosages

Expected: Skimmer will create the Chemical in QBO under Products and Services.

Note: It is important that these chemicals do not already exist in QBO prior to syncing. If they do, you will need to change the name of them and make them inactive in QBO.

Best Practice:

  • Manage Chemicals from Skimmer first - confirm changes in QBO after

  • There is not a Linked Chemicals page. Pros need to manage Dosages in Skimmer so it syncs to QBO, then if any income account or category settings need to be changed, the pro can edit the Chemical in QBO and add this info.


🛠 Work Order Types

Sync Triggers:

A new Work Order Type is created in Settings / Work Order Types

Work Order Type Sync:

Edit and Save to a Work Order Type in Settings / Work Order Types

Expected: Skimmer creates a corresponding Service in QBO.

Best Practice:

  • Confirm Linked Work Order Type mappings before invoicing to ensure invoices sync successfully to QBO. Successful syncs can be viewed from the Activity Page under Integrations > QuickBooks Online > Activity

  • Selecting a new dropdown item will automatically sync here

Note: Ignore the naming convention for the columns on this page. You only need to know the following:

Work order type: Skimmer Work order type

Default QBO Service for Labor: Matched QBO Service


💸 Payouts

Sync Triggers:

Payout Sync

A payout moves from In Transit to Paid Out Status in Skimmer

Expected:

  • A matched deposit in QBO for your bank deposit

    • Associated invoices will be checked, and Skimmer Fees will be a cumulative added line item below

Best Practice:

Reference payouts in QBO with matching Reports > Payouts invoices and fees to ensure clean month-end books. As long as all invoices/payments and payouts are successfully syncing in Activity, the deposits should automatically match invoices and fees.

You should just have to select Match on the Accounting / Bank Transactions Page in QBO.
