Billing – How to Manage Invoices

Tiers: All
Permissions: Can view invoices

The Invoices page (Billing > Invoices) shows every invoice you create in Skimmer Billing, plus a quick summary of the money you're owed. From here, you can check their status, take action on them, and create new invoices manually.

Invoice totals

The boxes across the top of the page give you a snapshot of what you're owed.

Total

What it shows

due in 30 days

The amount from sent invoices that's due in the next 30 days.

overdue

The amount from sent invoices that's past due.

outstanding

This is everything you're owed from sent invoices.

draft

The total of your draft invoices. Draft invoices are invoices Skimmer generated that you haven't sent yet.

Invoice tabs

Three tabs sort your invoices by where they are in the billing process.

Tab

What it shows

Outstanding

Invoices you've sent or marked as sent that aren't fully paid.

Draft

Invoices you've created but haven't sent or marked as sent.

All Invoices

Every invoice you've created, including draft, sent, partial paid, paid, overdue, and voided invoices.

After you select a tab, you can use the filters to narrow the list by date created, invoice status, customer name, and/or invoice number.

The invoice list

Each invoice has its own row showing the generation date, due date, customer name, invoice number, and amount owed. The Status column tells you at a glance where each invoice is in the billing process.

You may also see these icons:

Icon

What it means

Alert icon, to the right of the status

The customer doesn't have an email address on file. You can mark the invoice as Sent, but you can't send it to the customer. To send it, add an email address to the customer's account. Hover over the icon to see the message.

Envelope icon with a date, under the status

The customer opened their invoice email. The date shows when they opened it.

From the invoice list, you can work with one or multiple invoices.

Work with a single invoice:

  • View invoice details - Click the invoice details icon or the invoice number.

  • Take action on an invoice - Click the more icon and select one of the following actions: Send Invoice, Mark As Paid, Add Payment, Edit, Preview, Print, Void, or Delete.

Work with multiple invoices (bulk changes):

  • Take action on multiple invoices - Select the checkbox next to each invoice, and then click one of the options above the list: Send Invoices, Mark as Sent, Mark as Paid, Print, or Delete.

Print invoices

Printed invoices use the same layout as the PDF attached to invoice emails, so what you print matches what your customer receives. The printed invoice format is compatible with #10 window envelopes and displays the bill to address in the window of the envelope.

  1. Select the checkbox next to each invoice you want to print.

  2. Above the list, click Print. A loading indicator appears while Skimmer prepares your invoices, and the printable file opens when it’s ready.

Note: You can’t start another print until the current one finishes.

Create an invoice

  1. In the top-right corner of the Invoices page, click Create Invoice.

  2. On the Create Invoice page, click the Customer field and select a customer.

  3. Set the invoice date and due date.

  4. Click Add New to add line items.

  5. After you add a line item, click Apply to save it.

  6. To add a discount or a fee, click the corresponding Add button.

  7. To update the Invoice Message, type directly in the field.

  8. Click the Save option and select Save & Send or Save & Mark As Sent.

Invoices you send or mark as sent appear on the Outstanding tab. Invoices you save without sending appear on the Draft tab.
