How Do I Manually Record a Skimmer Payout as a Bank Deposit in QuickBooks Online

If QBO Billing disconnects, you’ll need to manually create Stripe/Skimmer payouts in QuickBooks Online to keep your bank reconciliation clean.

Before you start, do these two quick checks.


1️⃣ Grab the Payout Details from Skimmer

In Skimmer, go to:

Reports → Payouts Received Summary (totals by payout)
Reports → Payouts Received Detail (line-by-line payments + fees)

You’ll need:

  • Payout ID

  • Deposit (arrival) date

  • Gross amount

  • Total fees

  • Net amount

Use Skimmer as your source of truth.


2️⃣ Know Where You’re Posting in QBO

You’ll create a Bank Deposit in QBO to the same bank account Stripe deposits into.

Processing fees should be entered as a negative line item so the deposit total equals the net banked amount.

This is the standard QBO method.


Option A — Fast & Simple (One Lump Sum Per Payout)

Best when you only need the payout recorded in QBO and don’t need to tie it to individual invoices.

Steps

1️⃣ In QBO, click + New → Bank Deposit
2️⃣ Select the correct bank account (the one Stripe deposits into)
3️⃣ Set the date to the payout arrival date from Skimmer
4️⃣ Skip the top section (“Select the payments included in this deposit”)

Scroll down to Add funds to this deposit and enter:


Line 1 — Gross

  • Received from: Stripe (or create vendor “Stripe” / “Skimmer Payout”)

  • Account: Sales / Income (e.g., “Skimmer Online Payments”)

  • Amount: Gross payout amount


Line 2 — Fees

  • Received from: Stripe (or “Processing Fees”)

  • Account: Bank Charges / Merchant Fees expense

  • Amount: Enter fees as a negative number (example: –29.00)


The Deposit Total should now equal the Net amount received in your bank.

5️⃣ In the Memo field, paste the Payout ID and notes (example: “May 12 payout – 12 payments”)
6️⃣ Save
7️⃣ Go to Transactions → Bank Transactions and match the downloaded bank line to this deposit

💡 If unsure about fees, always reference the Payouts Received Detail report in Skimmer.


Option B — Detailed (If You Track A/R in QBO)

If you maintain invoices inside QBO and need Accounts Receivable to tie out, use one of these workflows.


Path 1 — Classic QBO Workflow

1️⃣ For each customer payment:
+ New → Receive Payment → Deposit to Undeposited Funds

2️⃣ Then:
+ New → Bank Deposit
Select those payments
Add a negative line for processing fees

This groups payments and subtracts fees in one deposit.


Path 2 — If You Have the Deposit First

1️⃣ Open Bank Deposit
2️⃣ In “Add funds to this deposit,” post customer lines to Accounts Receivable (A/R)
3️⃣ Save
4️⃣ Then go to + New → Receive Payment
5️⃣ Apply the deposit (credit) to the open invoice

Repeat per customer.


Example (Sanity Check Your Math)

  • Gross: $1,000.00

  • Fees: $29.00

  • Net Banked: $971.00

Deposit Lines:

  • Stripe → Sales → $1,000.00

  • Stripe → Bank Charges → –$29.00

Deposit Total = $971.00

This should match your bank feed exactly.


Good Hygiene

  • Use Skimmer payout reports as your source of truth

  • Attach payout report (PDF/screenshot) to the QBO deposit

  • Name deposits consistently

    • Example:
      Skimmer Payout • 2025-08-14 • Payout ID po_123ABC

  • Once QBO Sync is reconnected, Skimmer’s Payout Sync will automatically create deposits and book fees


Troubleshooting Notes

  • If totals don’t match → double-check fees and payout date

  • The most common mistake: forgetting to enter the fee as a negative line

  • If duplicates appear after reconnecting sync, use the deposit detail view to match and clean up


Why This Works

  • Skimmer’s payout reports provide the exact Gross, Fees, Net, Payout ID, and arrival date

  • QBO’s documented best practice is to use Bank Deposit and enter fees as a negative line under “Add funds to this deposit.”


If reconciliation feels off, it’s almost always one of three things: wrong date, wrong fee amount, or the fee wasn’t entered as negative. Fix those, and the numbers usually fall right into place.
